As the Executive Assistant to the Co-Chairman of the Technology Companies Business Unit, you will not only provide high-level administrative support, coordination, and project management, but will also have close interaction with external clients and all levels of firm management. You will handle everything from complex scheduling to the resolution of unforeseen problems requiring immediate management. This role requires acting as the first point-of-contact for key internal and external clients, receiving phone calls, meeting requests, and correspondences, and determining the nature of the request/urgency to either answer or refer to the appropriate persons. You will be responsible for arranging internal and external meetings and events, preparing stakeholders ahead of time with an agenda or full briefing. Routine and complex document preparation and proofing will be part of your duties, including correspondence, presentations, and spreadsheets. You will also manage electronic file setup and ensure accurate timekeeping and billing. Developing knowledge of all contacts and protocols, and handling requests for information will be essential to your success in this role.

Responsibilities

  • Handle complex scheduling and resolve unforeseen problems requiring immediate management.
  • Act as the first point-of-contact for key internal and external clients.
  • Receive phone calls, meeting requests, and correspondences, determining the nature of the request/urgency.

  • Prepare routine and complex documents, including correspondence, presentations, and spreadsheets.

Requirements

  • High School Diploma required; Bachelor's Degree preferred or equivalent experience.
  • 7-10 years' experience supporting senior level executives required, preferably in a professional services organization.
  • Working knowledge of the technology industry is a plus but not required.
  • Highly organized, detail-oriented, and self-directed.
  • Superb oral and written communication skills.
  • Consummate professional with stellar interpersonal skills and the ability to build relationships within the department, with clients, and across the global organization.
  • Experience handling confidential and sensitive information, exercising discretion and sound judgement.
  • Adept at multitasking and prioritizing projects.
  • Experience working both independently and as an effective and engaged team member.
  • Exhibits initiative and sees tasks through to completion.
  • Comprehensive knowledge of the entire Microsoft Suite at an expert level.
