About the position

The Executive Assistant position at Raymond James Financial, Inc. is designed for individuals who possess specialized knowledge and skills acquired through extensive experience and training. This role provides advanced, diversified, and confidential secretarial and administrative support to an assigned executive at the vice president level or equivalent, who is responsible for a major organizational function. The Executive Assistant will be expected to resolve or recommend solutions to these issues, often requiring evaluation, originality, and ingenuity to make moderately complex decisions. In this role, the Executive Assistant will maintain confidentiality and serve as a liaison between various functional areas and external customers to resolve routine administrative and operational issues. Key responsibilities include providing executive support such as answering telephones, assisting visitors, and addressing a range of administrative problems and inquiries. The Executive Assistant will also be responsible for composing and editing correspondence, preparing agendas and minutes for meetings, and scheduling and coordinating various events, interviews, and appointments, which may include travel arrangements. Additionally, the Executive Assistant will gather and analyze information to prepare statistical and narrative reports, maintain and update files and databases, and perform routine analyses and calculations for internal reports. The role demands a proactive approach to managing multiple tasks and assignments with frequently changing priorities in a fast-paced environment. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to communicate effectively both orally and in writing. Responsibilities

  • Maintains confidentiality in all aspects of the role.
  • Serves as a liaison with other functional areas and external customers to resolve routine administrative and operational issues.
  • Provides executive support including answering telephones, assisting visitors, and resolving administrative problems and inquiries.
  • Composes and edits correspondence and memoranda from dictation or verbal direction.
  • Prepares, transcribes, composes, types, edits, and distributes agendas and minutes of meetings.
  • Schedules and coordinates meetings, events, interviews, and appointments, including travel and lodging arrangements.
  • Prepares or assists in preparing statistical and narrative reports by gathering and analyzing information.
  • Establishes, maintains, and updates files, databases, records, and other documents.
  • Develops and maintains data and performs routine analyses and calculations for internal reports.
  • Sorts, screens, reviews, and distributes incoming and outgoing mail.
  • Composes and prepares timely responses to routine written inquiries.
  • Maintains currency in modern office management methods and techniques.
  • Performs other duties and responsibilities as assigned.

Requirements

  • High School diploma and nine plus years of experience in providing secretarial and administrative support to executives at a vice president/department head level in a major function within a large financial planning, investment management, or other financial services environment.
  • Intermediate level concepts, principles, and practices of providing executive support.
  • Knowledge of organizational policies and practices, including confidentiality policies.
  • Understanding of investment concepts, practices, and procedures used in the securities industry.
  • Familiarity with principles of banking and finance and securities industry operations.
  • Ability to perform a range of executive support activities for a vice president of a major organizational functional area.
  • Proficiency in operating standard office equipment and using required software applications.
  • Strong problem-solving skills and the ability to analyze and solve complex issues.
