About the position

The Executive Assistant will provide high-level administrative support to the executive team of a major employer in Bryan/College Station. This role requires an experienced and detail-oriented individual capable of managing complex schedules, handling confidential information, and performing various tasks in a fast-paced environment. The ideal candidate will demonstrate exceptional organizational skills, a proactive mindset, and the ability to anticipate the needs of executives.

Responsibilities

  • Manage daily operations and administrative functions for executives, including scheduling, travel arrangements, and correspondence management.
  • Coordinate and maintain complex executive calendars, prioritizing meetings and ensuring efficient time management.
  • Serve as a point of contact between the executive team and internal/external stakeholders, handling all communication with professionalism and confidentiality.
  • Prepare agendas, presentations, and materials for meetings. Take meeting minutes and follow up on action items as needed.
  • Coordinate domestic and international travel, including flights, accommodations, and ground transportation, ensuring all logistics are handled seamlessly.
  • Create, review, and edit reports, presentations, and other important documents with accuracy and attention to detail.
  • Track and manage executive expenses, including reconciliation of receipts and preparation of expense reports.
  • Assist in the planning and execution of special projects and company initiatives, ensuring deadlines are met and details are managed.
  • Coordinate company events, off-site meetings, and executive team gatherings.
  • Oversee office supplies, vendors, and general administrative duties as needed to support executive operations.

Requirements

  • Proven experience as an Executive Assistant (minimum 3-5 years).
  • Strong organizational and multitasking skills, with the ability to manage competing priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience managing complex calendars and travel itineraries.
  • High level of discretion, professionalism, and the ability to handle confidential information.
  • Strong attention to detail and accuracy in all tasks.
  • Ability to work independently and take initiative, with a proactive approach to problem-solving.
  • Bachelor's degree or equivalent experience preferred.

Nice-to-haves

  • Experience working with executives or senior leadership teams in a corporate environment.
  • Familiarity with project management tools or software.
  • Event planning experience.
  • Knowledge of CRM systems or other database management tools.
  • Experience in managing vendor relations or working with outside contractors.
