About the position

The Executive Assistant position at Randstad US provides high-level administrative support to a Director or Vice President. The Executive Assistant is expected to maintain confidentiality, manage schedules, prepare documents, and interact with various organizational levels to ensure smooth operations.

Responsibilities

  • Provide administrative support to a Director or Vice President level executive.
  • Prepare documents, reports, and correspondence using various software packages.
  • Schedule appointments and maintain event and meeting calendars.
  • Answer, direct, and refer calls to the appropriate area.
  • Update and maintain databases and filing structures.
  • Audit expenditures and resolve discrepancies.
  • Maintain confidentiality of sensitive information.
  • Interact with higher-level associates regarding projects and scheduling requirements.
  • Attend briefings and technical meetings for internal and external representatives.

Requirements

  • High school diploma or equivalent required.
  • Some college strongly preferred.
  • 2 - 4 years of administrative support experience.
  • Proficiency using Google mail, calendaring, and shared drives.
  • Proficient with Microsoft Office tools including Word, Excel, PowerPoint, and Outlook.
  • Strong customer focus and customer service skills.
  • Excellent communication and organizational skills.
  • Strong interpersonal skills with the ability to analyze and explain complex data.
  • Detail-oriented with a focus on quality and process improvements.
