About the position

Evergreen Shipping Agency (America) Corporation is seeking an Executive Assistant to join our team at our corporate headquarters in Jersey City, NJ. As the North American general agent for Evergreen Line, a leading provider of international shipping services, we are committed to delivering comprehensive logistics solutions while minimizing our environmental impact. The Executive Assistant will play a crucial role in supporting our executives by managing their schedules, coordinating meetings, and providing general administrative support. This position requires a high level of professionalism, organization, and the ability to communicate effectively in both English and Mandarin. The Executive Assistant will be responsible for a variety of tasks including answering and screening incoming phone calls, coordinating appointments, and maintaining executives' calendars. Additionally, the role involves scheduling meetings, conference calls, and video conferences, as well as composing and distributing meeting notes, correspondence, and reports. The Executive Assistant will also be tasked with completing expense reports, arranging business trips, and maintaining both paper and electronic filing systems. Greeting visitors and handling inquiries will also be part of the daily responsibilities. This is a full-time position with normal business hours from Monday to Friday, 8:00 am to 5:00 pm. The starting salary for this role ranges from $51,000 to $60,000, depending on qualifications. Responsibilities

  • Provide general administrative support and duties
  • Answer and screen incoming phone calls
  • Coordinate and schedule appointments and maintain executives' calendars
  • Coordinate and schedule meetings, conference calls, and video conferences
  • Compose, type, and distribute meeting notes, correspondence, and reports
  • Complete expense reports
  • Arrange and organize business trips, including travel arrangements and itineraries for domestic and international travel
  • Set up and maintain paper and electronic filing systems
  • Greet visitors and callers, handling their inquiries
  • Operate office equipment

Requirements

  • Bachelor's Degree or equivalent work experience in a related field
  • Administrative Writing Skills
  • Scheduling and Travel Logistics experience
  • Bi-Lingual (English and Mandarin)
  • Typing and Verbal Communications Skills
  • Organized and Professional demeanor
  • Authorized to work in the US without company sponsorship

Nice-to-haves

  • Experience with Microsoft Excel (1 year preferred)
  • Experience with Microsoft PowerPoint (1 year required)
