About the position

WIN Waste Innovations is seeking an Executive Assistant to join our corporate office in Portsmouth, New Hampshire. This role is pivotal in providing diverse and advanced secretarial and administrative support to our Middle Management and Senior Leadership Team. The position requires a high level of organizational skills, attention to detail, and the ability to manage complex tasks with considerable judgment and initiative. The Executive Assistant will be responsible for comprehensive scheduling, domestic travel arrangements, and processing expense reports. This individual will take independent action on handling requests, determining the appropriate course of action, and acting as a liaison between departments to ensure smooth operations. In addition to scheduling and travel coordination, the Executive Assistant will coordinate data from various sources for inclusion in technical reports and presentations. This includes performing independent research and preparing information for special projects as assigned. The role also involves administering the department's record-keeping system, updating various department records and publications, and ensuring compliance with company policies and procedures. The Executive Assistant will assist with quarterly board meeting preparations and board book production, as well as organizing and planning company events as directed by the Manager. The position requires flexibility, as the Executive Assistant will cover the workload of team members during absences and provide front desk coverage when the Office Administrator is out of the office. Other duties may be assigned as needed, making this a dynamic and engaging role within the organization.

Responsibilities

  • Comprehensive scheduling and domestic travel arrangements.
  • Process expense reports as assigned.
  • Take independent action on handling requests; determine the appropriate course of action, intervene where necessary, and act as a liaison between departments.
  • Coordinate data from a variety of sources for inclusion in technical reports and presentations; perform independent research and prepare information for special projects as assigned.
  • Administer the department record-keeping system; update various department records and publications; ensure that department files are maintained in accordance with company policies and procedures.
  • Assist with quarterly board meeting preparation and board book production.
  • Assist with organizing and planning company events as assigned by the Manager.
  • Cover Executive Assistant team members' workload when absent and/or on vacation.
  • Provide front desk coverage when the Office Administrator is out of the office/vacation.
  • Perform other duties as assigned.

Requirements

  • Bachelor's Degree from an accredited college or university in Business Management or related field.
  • A minimum of 4 years of experience in a fast-paced environment as a Project Manager/Coordinator or Executive Assistant.
  • Proven excellence in Microsoft applications: Word, PowerPoint, Excel, Teams, SharePoint, etc.
