About the position

We are partnering with a prestigious engineering firm in Bryan/College Station to find an experienced and highly organized Executive Assistant. The ideal candidate will possess a Bachelor's degree and have a minimum of 3-5 years of experience as an Executive Assistant, preferably within a technical or engineering environment. This role is crucial in providing comprehensive administrative support to senior executives, ensuring that their schedules are managed efficiently and that all communications are handled with professionalism and discretion. The Executive Assistant will be responsible for managing executive calendars, organizing meetings, preparing correspondence, and handling confidential information. This position requires a proactive individual who can coordinate travel arrangements, prepare and edit documents, and organize meetings and events. The successful candidate will also assist in project management, tracking progress on various initiatives, and ensuring timely completion of tasks. In addition to administrative duties, the Executive Assistant will oversee office operations, maintain office supplies, and ensure a well-organized work environment. The role demands exceptional organizational and time-management skills, strong written and verbal communication abilities, and a high level of professionalism. The ability to handle confidential information with discretion and build relationships with internal and external stakeholders is essential for success in this position.

Responsibilities

  • Provide comprehensive administrative support to senior executives, including managing schedules, organizing meetings, preparing correspondence, and handling confidential information with discretion.
  • Efficiently manage and coordinate executive calendars, ensuring all appointments, meetings, and events are scheduled, updated, and communicated effectively.
  • Serve as the primary point of contact between executives and internal/external stakeholders, handling communications promptly and professionally.
  • Coordinate and book travel arrangements, including flights, accommodation, transportation, and itineraries, ensuring seamless travel experiences for executives.
  • Prepare and edit documents, reports, and presentations, ensuring all materials are accurate and submitted within deadlines.
  • Organize and coordinate meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items.
  • Assist in the planning and execution of various projects and initiatives, tracking progress and ensuring timely completion.
  • Oversee office operations, maintain office supplies, and ensure a well-organized and efficient work environment.
  • Maintain and update records, databases, and filing systems, ensuring easy retrieval and confidentiality of information.
  • Undertake special projects and assignments as directed by executives, demonstrating flexibility and a proactive approach.

Requirements

  • Bachelor's degree required.
  • Minimum of 3-5 years of experience as an Executive Assistant, preferably in an engineering or technical environment.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management software and other office technologies is a plus.
  • High level of professionalism and integrity.
  • Ability to handle confidential information with discretion.
  • Excellent interpersonal skills with the ability to build and maintain relationships with internal and external stakeholders.
