The Executive Assistant position is designed to provide comprehensive administrative support to the Managing Director and other senior managers within the division. This role involves coordinating and managing the scheduling of business meetings, conference calls, appointments, and various events. The Executive Assistant acts as a crucial liaison between the Managing Director, team members, and external parties, ensuring effective communication and collaboration. Key responsibilities include maintaining calendars for events and appointments, managing the daily schedule of the Managing Director, making travel arrangements, preparing various documents for internal and external distribution, and assisting in budget and financial document preparation. The Executive Assistant will also participate in special projects and assignments, coordinating tasks with team members and external resources to ensure successful completion of objectives. This role is essential for optimizing the time and resources of senior management, thereby contributing to the overall efficiency and effectiveness of the organization.

Responsibilities

  • Provides administrative support to the Managing Director and other senior managers in the division.
  • Coordinates and manages the scheduling of business meetings, conference calls, appointments, and other events.
  • Maintains calendars for events and appointments for the Managing Director and other senior managers.
  • Manages the daily schedule and calendar for the Managing Director, preparing for planned meetings and events.
  • Makes travel arrangements for the Managing Director, visitors, and dignitaries, including reservations and accommodations.
  • Prepares proposals, presentations, memos, e-mails, reports, spreadsheets, and other documents for distribution.
  • Reviews and assists in preparing budget, financial, and other administrative documents.
  • Participates in or completes special projects and other assignments, coordinating tasks with team members.

Requirements

  • Proven experience as an executive assistant or in other administrative roles.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and problem-solving skills.
