About the position

The Administrative Assistant Specialist role is a critical support function for the C4ISR Vice President in our Colorado Springs, CO office within the Rotary and Mission Systems (RMS) division. This position requires a proactive individual who can interface with cross-functional executives, senior management, and administrative staff at all levels, acting as an ambassador for the Vice President and the organization. The role involves managing a high volume of calendar activities, making travel arrangements, and handling expense reporting for both domestic and international travel. The candidate must exercise discretion when responding to email and in-person requests, and perform standard administrative duties such as preparing briefing materials and supporting various meetings, including large employee gatherings. The successful candidate will ensure that all administrative details on projects are meticulously handled, including updating and tracking delegated tasks to ensure progress towards deadlines. They will manage inquiries to maximize the efficiency of the leaders' time, screen visitors to control interruptions, and provide necessary meeting backup data while arranging all amenities for meetings. The role demands excellent communication skills and the ability to demonstrate leadership qualities, as well as extensive executive-level experience. The candidate should thrive in a collaborative, multidisciplinary engineering environment and be committed to delivering best-in-class products and solutions.

Responsibilities

  • Manage executive calendars and arrange meetings for the Vice President.
  • Interface with cross-functional executives, senior management, and administrative staff.
  • Handle a high volume of travel arrangements and expense reporting for domestic and international travel.
  • Prepare briefing materials and support various meetings, including large employee gatherings.
  • Ensure administrative details on all projects are meticulously handled, including updates and statuses of delegated tasks.
  • Screen visitors to control interruptions and preserve leaders' schedules.
  • Provide meeting backup data and arrange amenities for meetings.
  • Perform additional special assignments as required in support of the program and executive staff.

Requirements

  • Advanced skillset in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).
  • Extensive executive-level experience with demonstrated leadership qualities.
  • High level of experience in managing executive calendars and arranging meetings.
  • Experience in domestic and international travel arrangements and expense reporting using Concur.
  • Ability to perform additional special assignments as required.
