The Executive Assistant provides administrative support for one of our executives. They proactively connect their leader with key stakeholders and prioritize scheduling based on the leader's initiatives. The Executive Assistant provides support for their leader on business matters of significance with a willingness to pitch in and do what's needed in a dynamic and fast-paced environment.

Responsibilities

  • Process and distribute a high volume of internal and external mail, email and voicemail
  • Schedule and coordinate appointments and meetings
  • Prepare travel arrangements
  • Organize and record financial transactions and data
  • Organize schedules and prioritize meeting requests by working proactively to mitigate scheduling conflicts
  • Take notes during meetings that their executive leader attends and communicate action items from the meetings
  • Conduct research, compile data, and prepare drafts of team meeting proposals, presentations and emails for presentation by executive leaders
  • Act as a liaison between the executive leader and all stakeholders
  • Act as a sounding board for the executive leader's new ideas and initiatives
  • Make decisions on matters of significance on behalf of the leader
  • Review inquiries directed to their executive leader and determine the proper course of action to complete the request or complete the request on behalf of their leader

Requirements

  • 4 years of experience in administration in a related business area
  • Advanced knowledge of the business area/team of leader supported
  • Some experience managing initiatives
  • Proficiency in the Microsoft Office suite

Nice-to-haves

  • 6 years of experience in administration
  • Bachelor's degree or equivalent experience
  • Understanding of project/program development and implementation
  • Understanding of the strategic goal of the business area in relation to the overall organization
