About the position

As an Executive Assistant at Crane Payment Innovations (CPI), you will play a crucial role in maximizing the effectiveness of the site leadership by providing top-level administrative support. This full-time hybrid position is based in Williston, SC, and requires a professional with prior administrative support experience, strong organizational skills, and the ability to manage confidential materials with poise and tact. You will be responsible for a variety of advanced, diversified, and confidential administrative functions, exercising a high degree of independent judgment and decision-making in your tasks. Your role will involve prioritizing work, managing vendor relationships, and ensuring smooth day-to-day operations for the Site Leader. In this position, you will represent the Site Leader professionally, greeting guests, organizing company events, and responding to inquiries. You will also be tasked with reviewing and reengineering processes to enhance efficiency and improve service levels for the leadership team. Your responsibilities will include sophisticated calendar management, travel arrangements, and planning meetings, videoconferences, and business functions. You will need to be familiar with the specific needs of the Site Leader to create consistent travel itineraries and manage any last-minute changes during travel. Additionally, you will coordinate philanthropy events, manage communications, and assist in presentation development. Your role will require you to maintain a high energy level, handle multiple projects simultaneously, and demonstrate excellent interpersonal and customer service skills. You will be expected to work independently while also being a team player, ensuring that all tasks are completed with attention to detail and a commitment to excellence.

Responsibilities

  • Perform advanced, diversified and confidential administrative functions for the Site Leader.
  • Professionally represent the facility Site Leader when greeting guests and organizing company events.
  • Review and reengineer processes to increase efficiency and improve service levels.
  • Manage vendor relationships and negotiate contracts for meeting planning and company-wide events.
  • Provide sophisticated calendar management and prioritize inquiries and requests.
  • Support key visitors during their visit to the office.
  • Plan and execute meetings, videoconferences, and business functions.
  • Provide travel arrangements for the Site Leader and manage travel itineraries.
  • Manage communications and assist in presentation development for meetings.
  • Coordinate philanthropy events and manage volunteer data.

Requirements

  • Associate's or Bachelor's degree in Business Management or related field, or equivalent combination of education.
  • A minimum of 10 years administrative expertise preferably in a global manufacturing/business environment.
  • Ability to handle confidential information sensitively.
  • Excellent organization and analytical skills.
  • Outstanding interpersonal and customer service skills.
  • Ability to work independently and prioritize multiple tasks.

Nice-to-haves

  • Experience with spreadsheets (Excel preferred) and word processing (Word preferred).
  • Expertise in PowerPoint and expense processing (Concur).
  • Knowledge of company policies and procedures.
