About the position

Carrier Corporation is the world's leading company in the Commercial and Residential HVAC industry, currently undergoing a significant Digital Transformation. This transformation involves strategic, operational, business, and technical alignment across various business units, including Fire & Security, Refrigeration/Trucking Transportation, Access & Intrusion, and HVAC. The Executive Assistant will play a crucial role in supporting multiple high-level executives, including the CIO of Corporate Functions and potentially one or two others, ensuring seamless processes and optimizing time management. This position offers a unique opportunity to make a substantial impact on a global enterprise level, working closely with business leaders and cross-functional teams. The Executive Assistant will be responsible for heavy and constant calendar management, requiring a keen eye for shifting priorities and the ability to prioritize tasks with minimal oversight. This includes managing correspondence, drafting communications on behalf of executives, and meticulous expense reporting. The role also involves booking international and domestic travel, creating itineraries, and ensuring that executives are well-supported while traveling. Additionally, the Executive Assistant will prepare for meetings, speeches, and other executive engagements, including creating PowerPoint presentations and drafting agendas. Event management is another key responsibility, where the Executive Assistant will coordinate team events and employee engagement activities, ensuring a welcoming atmosphere for guests. The ability to understand and communicate IT and technology business functions is essential, as it will help prioritize ongoing projects and initiatives that executives and their teams are managing daily.

Responsibilities

  • Heavy and constant calendar management with a keen eye for shifting priorities and a deep understanding of what is important and what can wait.
  • Correspondence management, including writing drafts on behalf of the executives as needed.
  • Meticulous and ethical expense reporting, handled on time and within company policies.
  • Booking international and domestic travel, including itinerary creation and scheduling considerations.
  • Meeting, speech, and other Executive preparation including PowerPoint presentations, talking points, agendas, and thought leadership articles.
  • Event Management for team events and employee engagement activities, including on-site welcoming and greeting guests.

Requirements

  • 7+ years of experience as a professional Executive Admin/Assistant.
  • 3+ years' experience supporting more than one Executive at a time at the Enterprise, Global level.
  • Extensive technical experience within O365 applications, including heavy Outlook calendar management, Exchange email, PowerPoint, and MS Teams.
  • Strong experience booking international and domestic travel, creating itineraries, and managing expense reports (SAP Concur experience preferred).
  • Experience coordinating large attendance meetings, team outings, and events, managing streamline tasks, and establishing prioritization.
  • Excellent attention to detail and verbal/written communication skills, with the ability to communicate at all levels including executives, stakeholders, and business/technical teams.

Nice-to-haves

  • B.S. degree in business management or a related discipline.
  • Strong Change Management understanding/environment experience.
  • Experience supporting Digital/Technology or Engineering Executives (CIO, CTO, CDO, CISO, etc.).
  • PMP, PMI, or Agile certifications.
