About the position

The Executive Assistant's main responsibility is to make the executives as productive as possible. This person must be a polished professional with excellent interpersonal skills and a sense of urgency to get things done. The individual will act with speed, composure, compassion, and knowledge to solve problems. The ideal candidate will be able to perform clerical, administrative, and general office duties under minimal supervision. In addition, the individual will assist the team with analyzing and reporting industry and AIG specific market information to be used in the evaluation of current and prospective clients and local market share, as well leveraging company, and external data to support new business development. The position will provide administrative support for the West Zone, reporting directly to a Market Leader supporting the 2 West Market Leaders.

Responsibilities

  • Supporting internal zonal/regional/local events, marketing activities, event planning and campaigns.
  • Support internal market activities including email campaigns, tracking attendees and engagement.
  • Provide event logistical support including, name badges, table tents, etc.
  • Facilitation of meetings including audio/video, conference room management, BEO review.
  • Preparing documents including correspondence, spreadsheets, reports, memoranda, and other materials (including presentations, graphics and charts).
  • Participate in meetings as requested; prepare and distribute agendas, prepare minutes from a variety of meetings. Handling all matters proactively and expeditiously.
  • Oversee a broad variety of administrative tasks including managing an active calendar, arranging travel plans, scheduling meetings, processing expense reports, providing team support and other duties as needed.
  • Understanding the organization's business in order to work effectively with all levels of employees and clients.
  • Exceptional time management and organizational skills, with the ability to: anticipate needs with initiative and enthusiasm.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

Requirements

  • Prior work experience in office/executive administration with excellent interpersonal and organizational skills.
  • Individual must be able to handle multiple tasks and prioritize responsibilities.
  • Salesforce or comparable CRM experience would be a plus.
  • Proficient computer skills required including Microsoft Office.
  • Concur or comparable expense system experience is preferred.
  • Must have excellent follow-through, strong business acumen and demonstrate a high level of urgency and adaptability.
  • Must be an organized self-starter with the ability to handle and coordinate multiple tasks simultaneously with minimum error.
  • The ability to maintain confidentiality on sensitive matters is required.
  • High level of collaboration and coordination across multi-location organization a must.
