This position is based in Tustin, CA, and is expected to last for six months. The ideal candidate will be highly organized, detail-oriented, and capable of managing a variety of tasks simultaneously. The Executive Assistant will be responsible for maintaining the daily schedules of the managers, ensuring that all appointments and meetings are efficiently organized and communicated. This role requires a proactive approach to problem-solving and the ability to anticipate the needs of the executives being supported. In addition to calendar management, the Executive Assistant will perform a full range of executive support functions, including handling executive-level telephone and email communications. The role also involves managing extensive domestic and international travel arrangements, which includes creating travel profiles, reconciling executive expense reports, and coordinating logistics and itineraries for complex business and social calendars. The Executive Assistant will track mileage expenses and process other business expenses, ensuring that all financial records are accurate and up to date. The position also requires the creation of agendas, assembling information, taking notes, and preparing follow-up reports for team meetings. Proficiency in presentation creation using MS PowerPoint is essential, as the Executive Assistant will be tasked with developing presentations for various stakeholders. Other general administrative duties may also be assigned as needed, making flexibility and adaptability key traits for success in this role.
