About the position

The Executive Assistant at Social Mobile will provide high-level administrative support to the executive leadership team, ensuring efficient management of their time and responsibilities. This role involves coordinating personal and professional schedules, maintaining records, and facilitating communication within the organization. The EA will work closely with the Chief Financial Officer, President, and Chief Product Officer, playing a crucial role in the smooth operation of the executive team.

Responsibilities

  • Provide high-level administrative support and day-to-day assistance to the executive leadership team.
  • Manage personal and professional scheduling for the Chief Financial Officer, President, and Chief Product Officer.
  • Schedule and attend meetings on behalf of the leadership team, record and distribute meeting minutes and action items.
  • Communicate efficiently and effectively with management/staff on behalf of the executive team.
  • Execute the highest level of discretion and confidentiality when acting on behalf of the executive team.
  • Facilitate all travel arrangements including airfare, lodging, meals, ground transportation, travel itineraries, meeting itineraries and materials.
  • Maintain files and records as requested (proposals, sales, trip documents - reports/debriefs).
  • Facilitate monthly vendor payments, communication, follow-ups, and confirmations.
  • Partner with office admin to support and assist with office management, client visits, policies, and procedures.

Requirements

  • Multiple years of experience as an Executive Assistant to multiple C-Suite executives
  • Bachelor's degree preferred
  • Flexibility and availability for last-minute or emergency needs over weekends/nights
  • Exceptional verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Outlook, OneDrive), Teams, and Adobe Acrobat
  • Ability to conduct client/partner/industry research
  • Ability to multi-task and work in a fast-paced environment with tight deadlines
  • Ability to travel domestic and international
