About the position

The Executive Assistant will support the management team of a successful growing medical company by providing administrative assistance, managing schedules, and coordinating corporate events. This role is essential for ensuring smooth operations and effective communication within the organization, particularly in a hybrid work environment.

Responsibilities

  • Act as Management and Team Assistant to support executives and the team.
  • Open, sort, and distribute incoming correspondence, including fax and email.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Prepare responses to correspondence containing routine inquiries.
  • Manage and maintain executives' schedules and organize corporate meetings/events.
  • Support the CEO with management of the board of directors.
  • Make travel arrangements for executives, the board of directors, US staff members, and consultants, including travel expense reports.
  • Manage external travel agent as applicable.
  • Perform basic bookkeeping work and implement payment transactions in conjunction with the finance department in Germany.
  • Implement routine tasks of personnel administration.
  • Perform general office and facility duties such as ordering supplies and maintaining records management systems.
  • Coordinate and direct office services.
  • Prepare presentations, invoices, and other documents using word processing, spreadsheet, and other software.
  • Set up and oversee administrative policies and procedures for offices and/or other organizations.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and directors.

Requirements

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and designing forms.
  • Knowledge of principles and processes for providing customer and personal services, including customer needs assessment and evaluation of customer satisfaction.
  • Knowledge of electronic equipment, computer hardware, and software (MS Word, Excel, PowerPoint, and Outlook).
  • Knowledge of business and management principles involved in strategic planning and resource allocation.
  • Ability to work with US and International Partners.
  • Must have a can-do attitude and the ability to work in a fast-paced and high-output culture.
