About the position

The Executive Assistant will support the CEO and Executive Leadership Team at Miller's Ale House, enhancing their productivity through a variety of administrative, clerical, and project management tasks. This role requires maintaining confidentiality, managing time-sensitive materials, and preparing various reports and correspondence.

Responsibilities

  • Maintain the CEO's appointment schedule by planning and scheduling business and personal meetings, conferences, and teleconferences.
  • Maintain Executive calendars and make all necessary arrangements for appointments and meetings.
  • Provide administrative and project management support for the Executive Leadership Team.
  • Assist the CEO/SVP of Operations with daily administrative duties and complete a broad variety of administrative tasks including expense reports and correspondence.
  • Arrange complex and detailed travel plans, itineraries, and agendas, and compile documents for meetings.
  • Organize, schedule, and plan meetings and events including Board Meetings and other executive meetings.
  • Assist and support the CEO in preparing for meetings, including preparing meeting materials and tracking follow-up items.
  • Plan and execute monthly RSC luncheons and holiday celebrations.
  • Work closely with the CEO to keep him informed of upcoming commitments and responsibilities.
  • Notify the CEO of important dates and occasions such as employee birthdays and anniversaries.
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Develop, prepare, and analyze Operations reports and data on company sales and business trends.
  • Formulate and prepare correspondence and reports to internal and external parties.
  • Support the Executive Leadership Team with PowerPoint presentations for various meetings.
  • Assist with the annual department budget process and organization of Strategic Initiatives.
  • Support department invoicing and contract administration as needed.
  • Pick up deliveries and complete other work-related errands to assist the CEO and Executive Leadership Team.
  • Answer and direct telephone calls, relaying important information promptly and clearly.
  • Be easily accessible for after-hour travel, scheduling, and other needs.

  • Associate degree or equivalent with at least 5 years of experience in the field or a related area.
  • Extensive experience with all Microsoft Office products including Outlook, Word, Excel, Teams, and PowerPoint.
  • Punctual and consistent attendance.
