About the position

The Executive Assistant at Compassus is responsible for providing comprehensive executive administrative support while embodying the company's values of Compassion, Integrity, Excellence, Teamwork, and Innovation. This role involves managing various administrative tasks, coordinating meetings and events, and fostering positive relationships within the organization and with external stakeholders. The Executive Assistant also plays a key role in upholding the Code of Ethical Conduct and may lead lower-level administrative staff.

Responsibilities

  • Assists in the planning and execution of in-person and virtual meetings, events, and conferences, including site selection, registration, catering needs, agendas, minutes, and contract negotiation.
  • Provides day-to-day administrative support, including calendar management, processing expense reports, and booking travel arrangements for executives.
  • Prepares correspondence, memoranda, reports, and other documents.
  • Screens telephone calls and visitors, resolving routine and complex inquiries.
  • Prepares and distributes minutes of meetings.
  • Provides advanced word processing support, creates complex spreadsheets, and develops high-quality reports and presentations.
  • Researches and follows up on incoming issues and concerns addressed to leadership, including sensitive or confidential matters.
  • Utilizes lower-level Administrative Assistants on a project basis as needed.
  • Serves as backup to other Executive Assistants and Administrative Assistants when necessary.
  • Delivers professionalism while exercising sound judgment in ambiguous situations.

Requirements

  • Associate's degree preferred.
  • Five (5) or more years of related experience preferred.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Strong written and verbal communication skills.
