About the position

Robert Half is seeking a skilled Executive Assistant to support a healthcare client in Philadelphia. This role involves managing executive schedules, overseeing daily operations, and coordinating various organizational activities. The ideal candidate will excel in communication and multitasking within deadlines.

Responsibilities

  • Manage and coordinate executive schedules, including arranging meetings and appointments.
  • Handle administrative tasks such as processing invoices, receipts, and documents related to expense reports.
  • Act as a trusted point of contact for internal and external stakeholders, providing communication and administrative support for key executive initiatives.
  • Coordinate and manage executive meetings, including preparing necessary documentation and correspondence.
  • Maintain accurate records in our CRM platform, including updating information and generating reports as needed.
  • Assist in the organization and coordination of departmental events, projects, or company-wide initiatives.
  • Schedule interviews and facilitate monthly administration meetings as directed.
  • Support the coordination of all operational issues for executive-level meetings, programs, events, or conferences.
  • Assist with special projects as necessary, providing administrative and clerical support.

Requirements

  • Bachelor's degree or equivalent combination of education.
  • 4+ years of C-Level and/or board experience.
  • Non-profit or higher education industry experience preferred.
  • Experience with meeting management, travel arrangements, event planning.
  • Expert-level proficiency with Microsoft Office Suite, particularly Outlook.
  • Strong written and verbal communication skills.
  • Proficiency supporting and collaborating with executive staff.
