About the position

The Executive Assistant position at Ultimate Staffing Services is a full-time, in-office role located in Phoenix, AZ. This position is crucial for ensuring smooth operations within the executive team and requires a proactive individual who can manage various tasks efficiently. The Executive Assistant will act as the primary point of contact among executives, employees, clients, and external partners, facilitating effective communication and information flow. The role demands a high level of organization and time management skills, as the assistant will be responsible for managing executives' calendars, setting up meetings, and making travel and accommodation arrangements. In addition to calendar management, the Executive Assistant will track daily expenses and prepare comprehensive reports on a weekly, monthly, or quarterly basis. The role also includes office management responsibilities, such as maintaining office supply inventory across all locations and overseeing the performance of IT support services. The assistant will be expected to take minutes during executive and board meetings, organize and set up offices for new employees, and manage the conference room calendar while ensuring that office equipment is functioning properly. The position also involves assisting with the management of the equity management platform and communicating relevant details to partners and employees. This multifaceted role requires a strong desire to make changes and a proactive attitude to get things done, making it essential for the candidate to possess outstanding organizational skills and the ability to handle multiple tasks simultaneously.

Responsibilities

  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives' calendars and set up meetings
  • Make travel and accommodation arrangements
  • Track daily expenses and prepare weekly, monthly, or quarterly reports
  • Act as an office manager by keeping up with office supply inventory for all locations
  • Take minutes during executive/board meetings
  • Organize and set-up offices for new employees
  • Oversee the performance of IT support service
  • Provide weekly, monthly, and quarterly reports to the executive team on project status
  • Order new equipment/furniture for staff and new employees
  • Manage conference room calendar and maintain service support for office equipment
  • Assist with management of equity management platform and communicate details to partners and employees

Requirements

  • 3-5 years of work experience as an Executive Assistant, Personal Assistant, or similar role
  • Outstanding organizational and time management skills
  • Experience with Jira or similar project management tool
  • Familiarity with office gadgets and applications (e.g., Outlook Calendars, Copy Machines, Video Conferencing)
  • Ability to sit or stand for long periods of time while typing or using a computer
  • Proficient in Microsoft Office and other applications
  • Excellent listening, verbal, and written communication skills
  • Discretion and confidentiality
  • High School Degree
  • PA diploma or certification is a plus
  • CAPM and/or PMP certification is a plus
