About the position

The Executive Assistant at American Seafoods will provide comprehensive executive administrative support to the Chief Financial Officer (CFO), Chief Commercial Officer (CCO), and their respective teams. This role is pivotal in ensuring that the executives can focus on strategic initiatives by managing their administrative tasks efficiently. The Executive Assistant will be responsible for preparing, composing, and initiating various forms of correspondence, including memoranda, presentation materials, press releases, and reports. This requires a high level of professionalism and attention to detail, as the materials prepared will often be shared with stakeholders both internally and externally. In addition to correspondence, the Executive Assistant will organize and prioritize the workload of the executives to meet critical deadlines. This includes preparing PowerPoint presentations that effectively communicate key messages and data. The role also involves answering and screening telephone calls, taking messages, and providing information or redirecting calls as appropriate. The Executive Assistant will be the first point of contact for visitors, requiring excellent interpersonal skills to ensure a welcoming and professional environment. Scheduling and maintaining calendar appointments, meetings, and travel itineraries are essential functions of this position. The Executive Assistant will arrange meetings, conferences, and conference calls, ensuring that all logistics are handled smoothly. Furthermore, the role includes organizing and maintaining business records, files, and documentation, managing retention in accordance with company policy. The Executive Assistant will also prepare business expense reconciliations and expense reports for the executives, ensuring accuracy and compliance with company policies. Confidentiality is paramount in this role, as the Executive Assistant will handle sensitive information. The ideal candidate will possess a strong ability to multi-task and work under pressure on multiple assignments, demonstrating reliability, flexibility, and thoroughness in their work. This position is a full-time role, with anticipated working hours from Monday to Friday, 8:00 am to 5:00 pm, with occasional overtime and travel required.

Responsibilities

  • Provide executive administrative support to the CFO, CCO and their respective teams as needed.
  • Prepare, compose and initiate correspondence, memoranda, presentation material, press releases and reports.
  • Organize and prioritize workload to meet deadlines for the executives.
  • Prepare PowerPoint presentations.
  • Answer and screen telephone calls, take messages, provide information or redirect calls as appropriate.
  • Receive and direct visitors.
  • Schedule and maintain calendar appointments, meetings, and travel itineraries.
  • Arrange meetings, conferences and conference calls.
  • Organize and maintain business records, files, documentation, etc. and manage retention in accordance with company policy.
  • Prepare business expense reconciliation and expense reports for executives.
  • Organize and arrange commercial travel and transportation.
  • Maintain confidentiality of all information.

Requirements

  • Minimum 5 years of relevant executive assistance experience in a professional office setting.
  • Ability to multi-task and work under pressure on multiple assignments.
  • Ability to handle confidential matters.
  • Strong writing, proofreading and editing skills with strong attention to detail.
  • Excellent interpersonal and organizational skills.
  • Reliable, flexible, responsible and thorough.
  • Expert in Microsoft Office Suite.
