This position is responsible for providing full administrative support to executive leadership. This role performs a wide variety of administrative tasks in support of executive leadership. It includes maintaining the executive's and/or department calendar, scheduling and confirming appointments, arranging for meeting rooms or facilities, and making and confirming travel plans. Additionally, the role involves preparing agendas or presentations, attending meetings with the executive, and taking, transcribing, and distributing notes or minutes. The position encompasses broad administrative tasks as well as more complex activities such as data compilation and reporting, administrative project management, and coordination of key projects across the organization. The role also arranges travel, including preparing and submitting expense reports on behalf of the executive. It requires screening visitors, phone calls, emails, or physical mail while maintaining confidentiality of sensitive information. The position handles complex issues and problems, referring only the most complex issues to higher-level staff, and manages details of a highly confidential and critical nature. The successful candidate will collect and prepare information for use in discussions and meetings of executive staff and outside individuals, making high-level contacts of a sensitive nature inside and outside the company. The role involves working on problems of diverse scope where analysis of data requires evaluation of identifiable factors, exercising judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. The candidate may lead projects and perform other duties as assigned. Occasional business travel may be required.

Responsibilities

Requirements

  • Bachelor's Degree required.
  • Three (3) plus years of experience or equivalent combination of education and/or experience.
  • Knowledge of specialized disciplines, industry practices and standards, acquired via academic instruction and/or relevant work experience of substantially the same level.
  • Strong skills using MS Office Suite products including Excel, Word, and PowerPoint as appropriate for the job level.
  • Ability to use discretion and maintain confidentiality.
  • Excellent communication skills, both verbal and written, with the ability to develop written communication.
