About the position

The Executive Assistant provides high-level administrative support to senior executives, acting as the primary point of contact for internal and external stakeholders. This role involves managing schedules, coordinating meetings, and overseeing special projects, requiring strong organizational and communication skills. The ideal candidate must be able to handle confidential matters with discretion and work independently under pressure.

Responsibilities

  • Manage an extremely active calendar of appointments for SVP/VP's using Outlook.
  • Ensure executives are aware of daily schedules and have necessary materials in advance of meetings.
  • Communicate high priority conflicts to obtain feedback and reset priorities prior to rescheduling.
  • Coordinate the most efficient use of SVP/GM's time, anticipating and preparing daily schedules of meetings and priorities.
  • Initiate, establish, and communicate department meetings on behalf of SVP/VP, preparing meeting agendas and ensuring meetings progress according to schedule.
  • Organize, prioritize, and summarize incoming materials and special requests.
  • Anticipate, prepare, and compile materials for conferences and meetings on own initiative.
  • Screen telephone calls and determine whether SVP/VP should be interrupted based on business needs.
  • Schedule and coordinate meetings, conference calls, and other executive events, reserving meeting space and catering services when appropriate.
  • Take meeting minutes as necessary and follow up on action items.
  • Compose and type correspondence, memos, presentations, organization charts, and confidential material.
  • Coordinate domestic and international travel arrangements including air travel, ground transportation, and hotel accommodations.

Requirements

  • High School Degree
  • Strong Microsoft Office skills including Excel, PowerPoint, and Word
  • Administrative assistant experience including executive level support
  • Knowledge of corporate organizational structure and functional responsibilities
  • Strong interpersonal skills with a high degree of sensitivity for confidentiality
  • Strong oral and written communication skills
  • Ability to gather data and provide reliable information to the SVP for action.
