About the position

The Executive Assistant at GHP INC plays a crucial role in supporting the Business Leader by managing various administrative tasks, overseeing communications, and ensuring the efficient operation of executive offices. This position requires exceptional organizational skills, attention to detail, and the ability to manage competing priorities while maintaining a high level of professionalism. The Executive Assistant will engage with internal and external stakeholders, contributing to the overall effectiveness of the leadership team.

Responsibilities

  • Assist Business Leader in managing to-do lists and tracking tasks in Asana software.
  • Lead Bi-Weekly Touch Base Strategy meetings on various clients, projects, and presentations.
  • Monitor the Business Leader's email, extract to-do items, and manage meeting requests.
  • Assist in producing meeting records and maintain Executive's files.
  • Coordinate and finalize Company Monthly Reports for the File.
  • Utilize Microsoft Teams for file management and retrieval.
  • Write thank you notes and send on behalf of Executives.
  • Assist with documenting all SOPs for the Company and keep files updated.
  • Be a resource for departmental needs and maintain confidentiality.
  • Assist with Strategic Planning and coordinate meeting logistics.

Requirements

  • Bachelor's Degree or Equivalent
  • 8 - 10 Years of Executive Assistant Experience
  • Budgetary experience preferred
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Excellent organizational skills including attention to detail and multitasking skills

Nice-to-haves

  • Experience with Microsoft Teams
  • Experience in project coordination
  • Familiarity with Asana software
