About the position

Reliant Homes is actively seeking a positive, highly organized individual to join our team as an Executive Assistant. This role requires exceptional multitasking abilities, a keen attention to detail, and the capability to handle sensitive information confidentially. The ideal candidate will thrive in a fast-paced environment and be able to anticipate the needs of Senior Executives. As an Executive Assistant, you will be responsible for assisting the Executive team with day-to-day operational administrative tasks, which include filing, copying, organizing materials, and coordinating meetings. You will also handle incoming and outgoing communication, schedule appointments, maintain files, prepare and review documents, and perform general administrative work. Your role will involve screening and prioritizing incoming calls, emails, and correspondence, responding or redirecting as appropriate. In addition, you will conduct research, compile data, and prepare reports on various topics, projects, or initiatives as requested by the Executive team. Managing confidential information with utmost discretion and professionalism is crucial, as you will be exercising tact and judgment in handling sensitive matters. The position is full-time, with an expected work schedule of 40 hours per week, Monday to Friday, and offers a competitive salary based on experience and qualifications.

Responsibilities

  • Assist Executive team with day-to-day operational administrative tasks (filing, copying, organizing materials, coordinating meetings, etc.)
  • Handle incoming and outgoing communication, scheduling, maintaining files, preparing and reviewing documents, and performing general administrative work.
  • Screen and prioritize incoming calls, emails, and correspondence, responding or redirecting as appropriate.
  • Conduct research, compile data, and prepare reports on various topics, projects, or initiatives as requested by the Executive team.
  • Manage confidential information with utmost discretion and professionalism.

Requirements

  • Minimum 3 years' experience as an Executive Assistant supporting C-level executives or senior management required.
  • Excellent organizational and time management skills to effectively prioritize tasks and meet deadlines.
  • Strong verbal and written communication skills to effectively interact with individuals at all levels.
  • Exceptional attention to detail and accuracy in managing and organizing documents and correspondence.
  • Strong problem-solving skills to handle last minute changes, unexpected challenges, and conflicting priorities with composure and professionalism.
  • Proficiency in using productivity tools and software such as Microsoft Office Suite.
