While your title might read Executive Assistant, you're really more of a savior for our big mission! We are currently looking for an Executive Assistant who is highly motivated, detail-oriented, has the ability to travel, and wants to help us make an impact on the world. We have an immediate opening, so please contact us right away if you think you're the right fit. Your day-to-day will be in office with the company CEO and other onsite team members. You'll interface with other members of the team who work remotely. Your responsibilities will include assisting with administrative needs and client relations, making travel arrangements for the CEO and other key team members, creating comprehensive travel itineraries for each trip, coordinating CEO speaking engagement logistics, and maintaining a handle on company supplies and inventory. You will also track and drive completion of key deliverables for the CEO and Director of Operations, respond to messages received via the main company email accounts, organize office/company files, conduct research, and assist with client care, including overseeing the complete client payment process. You will be expected to assist with the onboarding process for new clients, maintain tracking of our coaching services delivery, and respond to client needs via email and phone. Additionally, you will help clients access their program details, provide onsite assistance to the CEO during client events, and assist in managing the back of the room to ensure all runs smoothly at speaking engagements and client retreats. You will also prepare for client retreats and onsite meetings, send thank you cards/gifts to clients, manage our customer funnel entry process, and compile the company key metrics report. Miscellaneous administrative and data entry tasks may also be assigned, which may include pitching for speaking engagements and light social media management in conjunction with the Marketing Team. You will need to have transportation for out-of-office errands and mail runs, and complete the daily Inbox Zero protocol for the CEO.
