About the position

The Executive Assistant at Covenant Health provides comprehensive administrative support to a Senior Vice President in the Accounting and Finance department. This role involves managing confidential tasks, scheduling appointments, and preparing various documents, while also potentially supporting additional executives. The position requires a high level of initiative, judgment, and familiarity with company practices and policies.

Responsibilities

  • Types and/or composes internal and external correspondence, takes and transcribes meeting minutes, types reports and presentations for Senior Vice President's use in System meetings.
  • Collects and prepares information for the Senior Vice President's use in discussions and meetings with executive staff members and outside individuals.
  • Opens and screens incoming mail, locates and attaches appropriate files to correspondence to be answered.
  • Maintains daily appointment calendar, coordinates appointments and meetings, and organizes agenda materials.
  • Receives and screens telephone calls and may respond to moderately complex inquiries, takes messages and/or redirects callers.
  • Maintains and organizes confidential department files and records.
  • Makes travel and lodging arrangements directly or through travel agencies.
  • Maintains and orders office supplies as necessary.
  • Performs other related duties as assigned or requested.

Requirements

  • Associate's degree or equivalent experience.
  • Five (5) to seven (7) years of administrative experience with executive management.
  • Experience using word processing (MS Word), spreadsheet (Excel), and presentation (PowerPoint) software.
