We are hiring an Executive Assistant in our Analytics & Behavior Change/EDML group. This is an exciting opportunity to provide executive administrative support for one VP and one SVP, working in a fast-paced environment. The ideal candidate for this opportunity will have exemplary planning and time management skills and the ability to organize/manage meetings, calendars, and travel. This individual will also be responsible for assisting in the operations of the 1000+ colleague departments. This individual will also be instrumental in helping to develop and manage team building and engagement activities. Poise, articulate and professional communications are required. Individuals must be able to come into the office a minimum of 3 times a week or more depending on workload/activities. Some overtime and light travel will be part of this job.

Responsibilities

  • Proactively managing/coordinating daily schedule/calendar, contacts, travel arrangements, meetings (internal and external), conferences, and seminars.
  • Arranges and schedule numerous meetings; maintain and update calendar; determine importance of meeting requests and schedule accordingly, demonstrating flexibility, serving as first-line of defense with the high volume of communications of phone and email.
  • Review daily meeting details to ensure agenda, time-zone sensitivity, pre-read, and briefing are included, and required participants have accepted at least 48 hours in advance.
  • Effectively manage travel plan and logistics, become familiar with executive travel preferences, and execute accordingly.
  • Plan ahead to book flights, hotel accommodations, ground transportation, and arrange meals, etc.
  • Coordinate travel plans with other leaders/support teams as needed.
  • Monitor travel and anticipate changes needed based on delays or other factors.
  • Process reimbursement and expense reports in accordance with established policy guidelines; track expenses and follow-up in timely manner.
  • Provide smooth communication; demonstrate leadership to maintain credibility, trust, confidentiality, and support with senior management staff.
  • Proactively sharing enterprise updates across the organization.
  • Responsible for excellence in complex meeting/event preparation (AV, room scheduling, telepresence events, etc.), set-up, and follow-up including preparing presentations/agendas/materials, documenting notes, and coordinating follow-up items to completion, arranging for food/drink.
  • Manage general office and administrative tasks, including ordering of miscellaneous supplies, renewing memberships, and subscriptions, managing distribution lists, photocopying, faxing, deliveries, etc.
  • Manage special projects as designated and assist other department members as necessary.
  • Perform other duties as assigned and assist with special projects as needed.
  • Actively participate in CVS Health's cross-functional network for Executive Administrative Assistants and be a vibrant participant and value to the community of EAs.

Requirements

  • 7+ years' experience in an administrative environment with Executive Assistant (EA) or equivalent experience supporting senior level colleagues and their departments, with expertise in the Microsoft Office Suite.

Nice-to-haves

  • Prior experience supporting CVS executives or executives in a Fortune 10 company.
  • Previous experience maintaining executive's phone, calendar, work, and travel schedules using Microsoft Outlook.
  • Strong interpersonal skills, including a professional phone manner and in-person presence.
  • Ability to work with and maintain confidential information.
  • Ability to understand priorities and adjust meetings and content appropriately.
  • Ability to work independently.
  • Ability to work collaboratively with other administrative assistants both inside and outside the company.
  • Discretion maintaining highest level of trust and confidentiality with classified/sensitive information.
