About the position

The Executive Assistant at Westerly Middle School plays a crucial role in supporting the Secondary School Principal by managing a variety of important administrative tasks. This position is designed for a full-time employee who will be responsible for handling correspondence, electronic communications, and interactions with district and school administrators, staff, parents, community members, and students. The Executive Assistant must maintain confidentiality and discretion regarding sensitive student and staff issues, ensuring that all administrative details are managed with the utmost care and professionalism. In this role, the Executive Assistant will independently manage a wide range of administrative details, which includes gathering information, maintaining records, and producing reports. The position requires a high degree of initiative and good judgment, as well as a working knowledge of various automated office equipment. The Executive Assistant will also be responsible for establishing and maintaining effective working relationships with other departments, public and private organizations, and the public at large. The responsibilities extend to composing a variety of correspondence, preparing documents for events and meetings, and maintaining records of notes or minutes from calls, meetings, and teleconferences. The Executive Assistant will coordinate conferences and meetings with public officials and respond to a wide range of inquiries of an administrative nature. Additionally, the role involves greeting and screening visitors, managing calendars using Google Suite, and representing the Principal as assigned. The position also includes assisting the Parent Teacher Organization and operating various software and office equipment, including Microsoft Office and other web-based products.

Responsibilities

  • Provide executive level clerical support and serve in an advisory or consulting role to other clerical/building aide staff, as assigned.
  • Gather information, maintain records and produce reports.
  • Independently manage a wide range of administrative details.
  • Exercise a high degree of initiative and good judgment; working knowledge of a variety of automated office equipment.
  • Establish and maintain effective working relationships with other departments, public and private organizations, department personnel and the public at large.
  • Assist Administrator with communication of important administrative details.
  • Compose a wide range of routine and unique correspondence; not limited to letters, flyers, brochures, spreadsheets, PowerPoint presentations, school publications, etc.
  • Prepares the necessary documents and materials for events and meetings.
  • Prepare, publish and maintain records of notes or minutes of calls, meetings and in-person and teleconferences.
  • Maintain electronic routine and special reports as required.
  • Coordinates conferences and meetings with public officials and with representatives of the public, consumers, providers, professionals and related organizations.
  • Respond to a wide range of verbal and written inquiries of an administrative nature, excepting any that require interpretations of policies and procedures.
  • Greet and screen visitors using the building security system, providing responses to inquiries whenever possible.
  • Make appointments and maintain calendars using Google Suite, make referrals, and confer with other staff members to prevent or resolve operation problems related to the coordination of administrative support work and, as required.
  • Represent the Principal, as assigned.
  • Assist Parent Teacher Organization.
  • Operate a wide array of software and office equipment including but not limited to, Microsoft Office (most current version), Skyward, Frontline, various web-based products and all standard office machines.
  • Perform other related duties as required.

Requirements

  • 3-5 years of experience with office methods, practices, procedures and terms.
  • 3-5 years of experience composing and transcribing correspondence, minutes and reports.
  • 1 year working in a school environment.
  • High School Diploma or equivalent required.
  • Associates degree in business preferred.
  • Authorized to work in the USA.
  • Current national background check without disqualifying results at time of hire.
