Responsibilities

  • Effective management of daily schedule and correspondence, ensuring timely responses to various inquiries.
  • Coordinate and facilitate meetings using tools such as Google Suite and Cisco Webex Meetings.
  • Maintenance of accurate and up-to-date records using CRM and ADP - Financial Services.
  • Assist in the preparation of charts and graphs in Excel, showcasing strong knowledge in this software.
  • Handle customer inquiries and resolve any issues in a professional manner.
  • Ensure the smooth running of operations by managing calendars and setting up conference calls.
  • Utilize skills in 'About Time' and 'Kronos Timekeeping System' for efficient time management.
  • Demonstrate strong communication skills in handling emails and other forms of correspondence.
  • Promote efficient travel and expense management using Concur.
  • Perform other tasks as assigned, demonstrating flexibility and adaptability.

Requirements

  • Minimum of 3 years of experience as an Executive Assistant or similar role
  • Proficient in using ADP - Financial Services
  • Experience with video conferencing applications, specifically Cisco Webex Meetings
  • Familiarity with Concur for travel and expense management
  • Proficiency in CRM software for customer relationship management
  • Knowledge of Kronos Timekeeping System for effective time management
  • Experience with About Time for project and resource management
  • Proven ability to manage calendars effectively, including scheduling and prioritizing appointments
  • Excellent communication skills, both written and verbal
  • Experience in managing conference calls effectively
  • Ability to handle correspondence professionally and confidentially
  • Proficient in Google Suite, including Docs, Sheets, Slides, and Calendar.
