About the position

As an Executive Assistant, you will play a crucial role in supporting senior executives and ensuring the smooth operation of the executive office. Your responsibilities will include managing schedules, coordinating meetings and travel arrangements, preparing reports and presentations, and handling confidential information with discretion. You will serve as a primary point of contact for internal and external stakeholders, effectively communicating on behalf of the executives. Strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced environment are essential. Your proactive approach and problem-solving abilities will contribute to the efficiency and success of the executive team. In this role, you will prepare and edit correspondence, reports, presentations, and other documents. You will assist in the preparation, review, and management of contracts, maintaining a database of contracts and monitoring key dates and deliverables. Acting as a liaison between executives and other departments, clients, and stakeholders, you will facilitate effective communication and collaboration within the team and across the organization. You will handle incoming and outgoing communications, including emails, phone calls, and written correspondence, ensuring timely and accurate dissemination of information. Additionally, you will assist with special projects and initiatives, providing support and tracking progress while ensuring a well-organized and efficient office environment. The position requires prolonged periods of sitting at a desk and working on a computer, and you must be able to lift up to 15 pounds at times. All employees are responsible for protecting the credentials provided to access Company (and customer, where applicable) networks, systems, and data.

Requirements

  • Bachelor's degree in business administration, communications, or a related field preferred.
  • Minimum of 3 - 5 years of experience as an executive assistant or in a similar role.
  • Experience in healthcare, medical or related industry.
  • Excellent verbal and written communication skills.
  • Exceptional organizational and time-management skills.
  • Ability to handle confidential information with the utmost discretion.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent interpersonal skills and the ability to work effectively with diverse teams.
  • Ability to work independently.
