About the position

Constellation West is seeking an experienced DOD Executive Assistant to provide comprehensive administrative support to the MARS Program Manager. The role involves generating, coordinating, monitoring, and reporting on internal and external actions, decisions, policies, tasks, and briefings for closeout and approval. The Executive Assistant will play a crucial role in supporting program-level meetings, which includes sending calendar invites, taking and publishing meeting minutes, preparing briefings, and managing the logistics of conference room bookings and virtual connections prior to meetings. In addition to these responsibilities, the Executive Assistant will be tasked with supporting process improvements within the PMO's business and operational functions. This includes suggesting efficiencies to existing policies and procedures to enhance overall productivity. The role also requires drafting, processing, cataloging, filing, and maintaining correspondences, messages, and other documentation on behalf of the MARS Program Manager. The Executive Assistant will liaise with both internal and external staff at all levels, ensuring effective communication and collaboration across the organization. This position requires a proactive individual who can manage multiple tasks efficiently while maintaining a high level of professionalism and confidentiality. The ideal candidate will have a strong background in the Department of Defense (DoD) or Intelligence Community (IC), with a minimum of 12 years of relevant experience. A bachelor's degree is required, or an additional four years of relevant experience may be considered as a substitute. Furthermore, the position necessitates a Top Secret clearance with Sensitive Compartmented Information (SCI) eligibility and a Counterintelligence (CI) Polygraph.

Responsibilities

  • Draft, process, catalog, file, and maintain correspondences, messages, and other documentation on behalf of the MARS Program Manager.
  • Liaise with both internal and external staff at all levels.

Requirements

  • A bachelor's degree or an additional four years of relevant experience may be considered as a substitute.
