About the position

Polaris Law Group, LLC is seeking an Executive Assistant to provide critical administrative support to the Owners and Managing Partners. This role is essential in ensuring that the firm operates smoothly and efficiently, especially as the firm is experiencing rapid growth. The ideal candidate will possess meticulous attention to detail and the ability to understand and resolve issues proactively. The Executive Assistant will be responsible for delivering exceptional customer service to clients and potential clients, while also managing important executive support tasks. This position requires a combination of empathy, strong written and verbal communication skills, and technical proficiency. The Executive Assistant will play a vital role in helping the Owners and Managing Partners expand the business, and the firm is committed to building a high-performing team. This is a full-time career position, suitable for someone with prior professional experience, rather than a first job.

Responsibilities

  • Scheduling and ensuring Owners/Managing Partners' calendars are up-to-date and organized
  • Triage of Owner's emails and phone calls, acting as a first responder to independently handle issues that do not need escalation
  • Arrange and book travel, transportation, and accommodations for the Owners and staff
  • Organize events and conferences
  • Approach tasks with a sense of urgency and strategic thinking to determine next steps
  • Understand the importance of delegation and be able to delegate to others to complete meaningful, time-sensitive work
  • Manage calendaring deadlines and reminders
  • Outreach to existing and potential planning partner sources
  • Send letters, notecards, emails, newsletters, and thank you cards
  • Make copies and scan documents

Requirements

  • 2 or more years of experience as an assistant, executive assistant, or in a supportive role
  • Strong administrative skills and attention to detail
  • Comfortable with technology and able to propose technological improvements
  • Proficient in Microsoft Office applications, including Word and Outlook
  • Excellent spelling and grammar skills
  • Strong communication skills, both written and verbal
  • Impeccable time management and organizational skills
  • Ability to maintain strict confidentiality
  • Reliable, trustworthy, and a positive team player
