About the position

AgWest Farm Credit is seeking an Executive Assistant to join our Lending and Insurance Administration department at our headquarters in Spokane, Washington. This full-time position is pivotal in providing high-quality administrative support to the Chief Lending Officer, acting as a key contact across the organization. The Executive Assistant will be responsible for managing calendars, coordinating agendas, scheduling travel, and handling expense reports. Additionally, the role involves compiling monthly reports and coordinating meetings and calls, ensuring that all administrative tasks are executed efficiently and effectively. In this role, the Executive Assistant will assist in developing reports and presentations by analyzing and interpreting loan portfolio data, creating data tables, charts, and graphs. A strong emphasis will be placed on customer service and product quality, with the expectation to establish systems to monitor results and articulate accountabilities. The Executive Assistant will also serve as the recording secretary for various committees and meetings, participate in administrative duties related to the local advisory committee, and manage workflows to prioritize tasks appropriately. The position includes coordinating the annual budgeting and monthly tracking process for public relations, advertising, and corporate giving expenditures in collaboration with the Marketing team. The Executive Assistant will also assist in policy and procedure creation, manage Intranet pages and Teams channels, and participate in updating the Lending Business Continuity plan. This role requires a proactive approach to communication and engagement, exemplifying AgWest's commitment to employee and customer engagement while advancing stewardship and community service. The Executive Assistant will also assist with special projects as assigned and perform all duties in accordance with company policies and procedures.

Responsibilities

  • Provide administrative support for executive staff including managing calendars, coordinating agendas, scheduling travel, managing expense reports, compiling monthly reporting, and meeting/call coordination.
  • Assist in developing reports and presentations by obtaining, analyzing, and interpreting loan portfolio and other data, as well as creating data tables, charts, and graphs.
  • Ensure a high level of customer service and product quality based on established standards; establish systems to monitor results and articulate accountabilities.
  • Serve as recording secretary for various committees and/or meetings as requested.
  • Participate in administrative duties pertaining to local advisory committee.
  • Manage workflows to determine priorities and ensure appropriate time allocation for team and organization projects.
  • Coordinate annual budgeting and monthly tracking process for public relations, advertising, and corporate giving expenditures in collaboration with the Marketing team and state level administrative personnel.
  • Assist in policy and procedure creation, coordinate publishing and communication as requested.
  • Assist in monthly reporting responsibilities.

  • Provide back-up to executive support staff.

  • Perform all duties and maintain all standards in accordance with company policies, procedures, and internal controls.

Requirements

  • Associate's degree in business, administration, English, or related field, or equivalent combination of education and experience.
  • Generally requires at least five years' directly related and relevant experience supporting executives.
  • Proficiency with MS Word, Excel, and Outlook.
  • Demonstrated communication skills with the ability to successfully interact with a wide range of roles and personalities.
  • Ability to handle a wide variety of activities and confidential matters with discretion and good judgment.
