About the position

The Executive Assistant at AESSEAL North America plays a crucial role in providing high-level administrative support to the CEO, ensuring the smooth operation of the business's sales and operational administration. This position requires a proactive individual who can manage the CEO's calendar and email communications effectively. Daily tasks include answering phone calls, organizing a daily and weekly schedule, prioritizing incoming correspondence, and conducting research to compile data that supports the leadership of the business. The Executive Assistant will also participate in meetings to gain insights into ongoing discussions and will be responsible for recording minutes during these meetings. As the Executive Assistant becomes more familiar with the business, they may occasionally represent the CEO in staff meetings, ensuring central coordination of activities. In addition to calendar management, the Executive Assistant will coordinate travel arrangements for the CEO and senior leadership teams, ensuring that all travel expenditures are monitored and that the most cost-effective travel policies are adhered to. This role also involves collaborating with the Human Resource Department to facilitate onboarding processes and coordinating logistics for internal and external meetings, including conference calls and regional manager meetings. The Executive Assistant will prepare necessary data and presentations, and will handle general administrative duties such as ordering supplies and preparing various documents using Microsoft Office programs. The responsibilities of this role may evolve over time, adapting to the changing needs of the business.

Responsibilities

Requirements

  • High School Graduate or General Education Degree (GED).
  • Two to four years of related experience.
