About the position

The Executive Assistant at Second Harvest of the Greater Valley provides comprehensive administrative and clerical support to the Board of Directors, CEO, and leadership team. This role requires a detail-oriented individual who excels in multitasking and customer service, ensuring effective communication and organization within the administration department.

Responsibilities

  • Oversee and manage the CEO's workflow; suggest and implement processes and systems to help optimize efficiency.
  • Provide administrative support for Leadership coordinated meetings, including attending meetings and keeping notes and records, preparing meeting agendas and materials, coordinating logistics, etc.
  • Provide strategic, complex calendar management based on an innate understanding of key priorities and objectives.
  • Assist with preparation of presentation materials & agenda development for internal, external, donor relations, and board of director's meetings to include follow-up tracking.
  • Own and manage side projects that require sound judgment, strong analytical skills, and effective communication.
  • Partner with internal stakeholders on projects, initiatives, and events.
  • Proactively support the Board of Directors and committees on the accomplishment of defined development and engagement activities.
  • Track and manage all Board related activities and documentation to ensure requirements and standards are met.
  • Plan and coordinate annual board retreat and other special functions, as needed.
  • Act as a liaison both internally and externally, always maintaining a sense of professionalism and collaboration.
  • Monitor the way their time is being allocated and what demands are made of them, so trends can be spotted, and redirect requests when necessary.
  • Provide support such as copying, mailers, and data entry.
  • Assist SHGV Leadership Team with generating reports and other documents using a full range of computer software skills including spreadsheets, word processing and database management.
  • Participate in assigned scheduled organization meetings, in-service trainings, conferences, and other trainings as determined by the supervisor.
  • Able to perform as needed other duties as assigned.

Requirements

  • AA/AS degree is preferred plus 2-3 years of experience as Administrative and/or Executive Assistant related roles.
  • Ability to work positively and effectively with people.
  • Demonstrated experience working with organizational leadership and providing support in community relations and/or customer service.
  • Computer skills-such as word, excel, and outlook.
  • A basic understanding of the needs related to food banking.
  • Excellent oral and written communication skills.
  • Valid California Driver's license, proof of insurance and reliable transportation.
  • Must be able to pass a pre-employment physical, drug/alcohol screen, TB test and criminal background check.
  • Able to sit for periods up to 2 hours.
  • Must be able to properly lift and carry up to 25 lbs. of materials.
  • Must possess or be willing to obtain basic First Aid and CPR certification.
  • Able to meet deadlines and perform adequately under time pressures.
