About the position

The Executive Assistant will be responsible for providing high-level administrative support to the Operations Excellence Director in Rochester, NY. This role is crucial in ensuring the smooth operation of the department and will involve a variety of tasks that require a high degree of organization and attention to detail. Daily functions will include preparing board reports and presentations, attending meetings and taking minutes, processing expense reports, making international travel arrangements, and managing complex calendars and schedules. The Executive Assistant will play a key role in facilitating communication and coordination within the team and with external stakeholders. In addition to administrative duties, this position offers the opportunity to contribute to the Customer Support team. The Executive Assistant will provide customer service by taking incoming calls, responding to inquiries, troubleshooting problems, and providing required information. This aspect of the role is essential for enhancing customer experience and improving operational efficiency. The successful candidate will be expected to handle confidential information with discretion, adapt to shifting priorities, and seek opportunities to offer solutions to challenges that arise in the day-to-day operations. The Executive Assistant will also assist in collecting data for the preparation of high-level reports, graphs, and presentation materials. This role requires the ability to work independently with minimal guidance, demonstrating initiative and problem-solving skills. The ideal candidate will have a strong background in executive assistance or a similar role, with a focus on customer service in a manufacturing or industrial engineering environment.

Responsibilities

Requirements

  • 3+ years' Executive Assistance experience or similar role.
  • In-depth knowledge in own discipline and basic knowledge of wider business disciplines.
  • Degree or recognized qualification in a related field.
  • Customer Service experience gained in a manufacturing/industrial engineering organization.

  • Salary Range: $60,000 - 75,000 + Bonus
