About the position

The Executive Assistant will support the day-to-day operations of both the Office of the Chief Financial Officer and the Office of the General Counsel at The University of Tulsa. This role is crucial in ensuring the smooth functioning of these offices by providing general operational support. Responsibilities will include answering the main phone line for both offices, taking messages when appropriate, picking up mail, opening and distributing it, composing emails and correspondence, and assisting with various clerical, purchasing, office management, and budgeting activities. The Executive Assistant will also manage the appointments and calendars of the CFO, General Counsel, and other staff members, along with performing other related duties as assigned. Specific tasks related to the CFO's Office will involve assisting with the yearly payment of property taxes for TU-owned properties, supporting the CFO and Director of University Budgets in generating and distributing the university's yearly operating budget, and helping with routine financial and budget reporting for the division. The Executive Assistant will also assist in creating materials and agendas for meetings of the Board of Trustees' Resources and Efficiencies, Audit and Risk Management, and Investment committees, as well as handling special projects and other tasks as requested. In the Office of the General Counsel, the Executive Assistant will assist with the payment and tracking of legal expenses, provide administrative and logistical support for Board of Trustees meetings—including scheduling, preparing agendas and materials, taking minutes, and sending meeting notices—and assist with responses to subpoenas and discovery requests. Additionally, the role will involve managing legal files and documents effectively.

Responsibilities

  • Answer the main phone line for both offices and take messages when appropriate.
  • Pick up mail for both offices, open, and distribute it.
  • Compose emails and correspondence for both offices.
  • Assist with general clerical, purchasing, office management, and office budgeting activities.

Requirements

  • 3+ years of experience as an Executive Assistant, Senior Executive Assistant, or other experience supporting executive-level leadership.
  • Full comprehension of office management systems and procedures.
  • Excellent knowledge of MS Office.
  • Proficiency in English.
  • Exemplary planning and time management skills.
  • Up-to-date with advancements in office applications.
  • Ability to multitask and prioritize daily workload.
  • High-level verbal and written communications skills.
  • Discretion and confidentiality.
  • High School degree or GED.

Nice-to-haves

  • Specialized certifications or qualifications as a personal assistant would be a plus.
