We are looking for team-oriented, professional individuals to help provide the support needed to meet these goals. The Executive Assistant will perform a variety of administrative tasks and support our company's leadership. You will contribute to the efficiency of our business by providing personalized and timely support to leadership. This role is essential in ensuring that the executive team can focus on strategic initiatives while you handle the day-to-day administrative tasks that keep the organization running smoothly. As an Executive Assistant, you will be responsible for managing the CEO's schedule, organizing travel arrangements, and maintaining communication with various stakeholders. You will need to be open-minded and adaptable to different environments and responsibilities, creating friendly relationships with suppliers, customers, and colleagues. Your role will also involve responding to emails in a timely manner, arranging information for internal and external communication through memos, emails, presentations, and reports. You will gather information for numerous projects, proofread documents for accuracy and completeness, and assist the CEO with all day-to-day matters. This position requires a high level of professionalism and strict confidentiality with all materials. You will need to demonstrate great attention to detail, excellent verbal and written communication skills, and strong time-management abilities. The ideal candidate will be a team player, willing to adapt to changes and unafraid of challenges, self-reliant, and results-oriented with the ability to complete assignments in a timely manner. Strong customer service orientation is also essential for this role.

Responsibilities

  • Create friendly relationships with suppliers, customers, and colleagues.
  • Provide information in an accurate and timely manner.
  • Respond to emails in a timely manner.
  • Arrange information for internal and external communication through memos, emails, presentations, reports, etc.
  • Gather information for numerous projects.
  • Proofread documents for accuracy and completeness.
  • Assist the CEO with all day-to-day matters.
  • Organize company travel arrangements including hotels, flights, meals, and ground transportation.
  • Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, etc.
  • Perform additional duties and responsibilities as assigned.
  • Perform data entry tasks and maintain accurate records using various software applications.

Requirements

  • Proficient in MS Office - Word and Excel.
  • Excellent interpersonal, communication, and organizational skills.
  • High School diploma or equivalent required.
  • CA Driver's License required.
  • 2 years of customer service experience required.
  • 1 year of personal assistant experience preferred.

Nice-to-haves

  • Experience with data entry tasks.
  • Strong editing skills.
