About the position

The Executive Assistant provides essential administrative support to one or more executives, playing a crucial role in fostering a positive work environment and culture. This position involves managing complex scheduling, coordinating travel arrangements, and ensuring effective communication within the organization. The Executive Assistant acts as a connector and problem solver, enabling leaders and their teams to operate efficiently and effectively.

Responsibilities

  • Manage complex calendar scheduling for executives and their teams.
  • Coordinate communication between executives and internal/external staff assistants.
  • Arrange travel logistics including air travel, hotels, and transportation for domestic and international trips.
  • Prepare and reconcile expense reports.
  • Handle email, telephone calls, and other requests with discretion and tact.
  • Prepare communication and correspondence on behalf of the executive or team supported.
  • Plan and coordinate corporate meetings and events, including facilities and catering.
  • Create reports and presentations using desktop publishing and office software.
  • Provide support to other executives when their assistants are unavailable.
  • Attend meetings and take notes as needed.

Requirements

  • High School Diploma or equivalent required; advanced degree preferred.
  • Minimum of five years' experience supporting senior-level management in an administrative capacity.
  • Exceptional communication skills with a high level of accuracy and attention to detail.
  • Experience interfacing with all levels of Executive Management; experience with Board of Directors is a plus.
  • Ability to anticipate needs based on prior meetings and emerging circumstances.
  • Proficient in coordinating complex travel arrangements and logistical challenges.
  • Ability to handle confidential and sensitive information with discretion.
  • Excellent computer skills with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Demonstrated proficiency in meeting technology such as Microsoft Teams and WebEx.
