About the position

The Executive Assistant provides high-level administrative support to the Co-Director of the Brenden-Colson Center for Pancreatic Care, Dr. Rosalie Sears. This role involves managing complex calendars, arranging travel, and facilitating communication with various stakeholders. The assistant will also support the leadership team and coordinate logistics for meetings and visits, ensuring smooth operations within the center.

Responsibilities

  • Provide executive level support for Dr. Rosalie Sears, including managing a complex calendar and making travel arrangements.
  • Set up and coordinate regular Center meetings, including scheduling, sending calendar invitations, and tracking attendance.
  • Monitor the Center's general email inbox and direct inquiries to the appropriate parties.
  • Coordinate visits for guest speakers and faculty recruitment candidates, including logistics and itineraries.
  • Reconcile Center P-Card accounts and submit disbursement requests for external visitors.

Requirements

  • Four years of clerical/secretarial experience, including one year supporting a senior level executive.
  • Proficient in MS Word, Outlook, SharePoint, and Teams.
  • Demonstrated ability to work effectively within a team.

Nice-to-haves

  • Bachelor's degree
  • Experience providing executive level support
  • Knowledge of Oracle, 25Live, Cisco Meeting (Webex), Adobe Acrobat Pro.

Benefits

  • Competitive salary range of $29.48 - $47.10 per hour
  • Regular full-time position with a structured schedule from Monday to Friday, 8:30am to 5:00pm.
