About the position

Quizlet is seeking a highly organized and proactive Executive Assistant to provide full-time support to senior leaders. Reporting directly to the Executive Business Partner to the CEO, you will play a critical role in managing day-to-day operations, optimizing time for senior leaders, and supporting strategic initiatives. The ideal candidate is a problem-solver who thrives in a fast-paced environment, can anticipate needs, and ensures the seamless functioning of leadership activities. Our colocation work model supports employees both remotely and onsite each week. Employees are required to be in the office on Monday, Wednesday, and Thursday and as needed by their manager or the company. This hybrid working environment facilitates collaboration, increases work efficiency, and enhances employee growth.

Responsibilities

  • Manage complex schedules for senior leaders, resolving conflicts and ensuring alignment with priorities
  • Coordinate meetings across multiple time zones, ensuring alignment with all stakeholders
  • Attend key meetings to take notes, track action items, and ensure timely follow-through
  • Arrange domestic and international travel, including flights, accommodations, and transportation
  • Assist with expense reporting, document preparation, and procurement requests
  • Handle sensitive and confidential projects with professionalism and discretion
  • Develop workflows to enhance efficiency across leadership activities
  • Partner with the workplace team to support office operations and events
  • Coordinate and execute team off-sites, workshops, and company-wide gatherings
  • Serve as a liaison between senior leaders and internal/external stakeholders
  • Encourage a team-first mentality within the team, celebrating collaborative achievements and supporting team-building initiatives that reinforce Quizlet culture and values.

Requirements

  • 2-4 years as an Executive Assistant or similar role, ideally in a high-growth or fast-paced environment
  • Advanced knowledge of Google Workspace (Docs, Sheets, Slides, Calendar) and tools like Slack and Coupa
  • Strong written and verbal communication skills, with the ability to interact professionally with all levels of the organization
  • Proactive mindset with the ability to anticipate needs, resolve issues, and adapt to changing priorities
  • Experience handling sensitive information with the utmost professionalism and discretion.

Nice-to-haves

  • Prior experience supporting C-suite executives or senior leaders
  • Familiarity with workplace operations, event planning, and strategic projects
  • Background in the tech or education industry.
