About the position

The Executive Assistant will support the President and his direct reports by managing a variety of advanced administrative tasks and projects. This role requires a self-starter who can work independently while also collaborating with colleagues. The Executive Assistant will handle confidential information, prioritize tasks, and solve problems with minimal supervision, ensuring the smooth operation of the executive office.

Responsibilities

  • Handle extensive calendar management for the President and his direct reports.
  • Manage communications with various individuals via writing, phone, or email.
  • Prepare agendas, presentations, letters, and statements; oversee and track distributions requiring responses.
  • Demonstrate professionalism and initiative in supporting complex issues within the organization.
  • Independently manage tasks or contribute to data collection and analysis for meetings or presentations.
  • Act as a solution finder for problems, determining root causes and implementing permanent solutions.
  • Manage executive tasks including meetings, board activities, travel, and events.
  • Assist in compliance with corporate guidelines, policies, and procedures.
  • Oversee the efficiency of the executive office by managing supplies and equipment.
  • Process invoices and expense reports as needed.
  • Prepare and handle proprietary and confidential information.
  • Arrange personal and business details including travel and accommodations.
  • Maintain data and files as assigned.
  • Meet daily, weekly, and monthly deadlines.
  • Perform other functions and duties as assigned.

Requirements

  • High School diploma or equivalent required; Bachelor's degree preferred.
  • 5+ years of experience in an administrative role supporting a C-Suite level or equivalent position.
  • Proficient in all Microsoft Office Suite products.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Proficient in research and follow-up; customer-oriented.
  • Collaborative team member capable of working independently.
  • Ability to handle confidential information discreetly.
