About the position

Oriol Health Care is in search of an Executive Assistant to work closely with the President/CEO. The role demands strong organizational skills, keen attention to detail, and the ability to handle confidential information discreetly. This is a full-time position working 30 hours per week from either 8:30am - 3:00pm or 9:00am - 3:30pm. The Executive Assistant will be responsible for providing high-level administrative support, including conducting research, preparing reports, handling information requests, and performing clerical tasks such as correspondence, visitor reception, conference call arrangements, and meeting scheduling. The ideal candidate will have a strong background in administrative support, exceptional communication skills, and the ability to work independently in a fast-paced environment. Proficiency in Microsoft Office and other relevant software is essential. Responsibilities

  • Scheduling and calendar management
  • Coordinating travel arrangements
  • Preparing and editing correspondence, communications, presentations, and other documents
  • Conducting research and compiling data for reports
  • Serving as a liaison between the executive and other staff members
  • Plan, organize, and implement events
  • Prepare reports, presentations, and data
  • Perform clerical duties and maintain files
  • Coordinate mailings and executive thank-you cards
  • Prepare financial reports and manage event budgets
  • Maintain office cleanliness and resources
  • Run errands and perform courier tasks
  • Manage executive schedules and act as a liaison
  • Coordinate phone system and provide basic company information
  • Maintain organization charts and update data systems
  • Handle confidential information and conduct research
  • Assist in planning company events and projects
  • Represent the company at events and meetings
  • Attend and assist in corporate and foundation meetings

Requirements

  • Bachelor's degree in business administration or related field preferred
  • 3-5 years of experience in mid- to senior-level administration, business, management, or related field preferred
  • Ability to handle sensitive information with discretion and confidentiality
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel)
  • Experience in scheduling appointments and managing calendars
  • Proficient in creating financial reports and coordinating efforts
  • Skilled in event planning and material development
  • Strong written and verbal communication skills
  • Excellent time management and prioritization skills
  • Valid driver's license and safe driving record preferred
  • Comfortable in a fast-paced environment with multiple tasks
  • Able to organize and manage files, tasks, schedules, and information efficiently
  • Self-directed and capable of working independently
  • Energetic and enthusiastic about new projects
  • Comfortable in both leadership and team-player roles
