About the position

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive partners. The ideal candidate will possess exceptional communication skills and a strong ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can anticipate the needs of executives and ensure smooth operations within the office environment.

Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings and appointments using Outlook and Google Calendars.
  • Project management: own, start, drive and complete projects as assigned by executives.
  • Provide executive administrative support by preparing reports, presentations, and correspondence, or coordinating with support staff for completion.
  • Transcribe meeting notes and other documents accurately to ensure clear communication.
  • Organize and maintain files, both physical and digital, for easy access and retrieval.
  • Assist with event planning, coordinating logistics for meetings, conferences, and company events.
  • Travel planning and serving as point of contact for executives for travel.
  • Serve as virtual/in person front desk point of contact, greeting visitors and managing incoming communications.
  • Collaborate with team members to streamline office management processes and improve efficiency.
  • Running errands, or coordinating with support staff for completion.
  • Managing family calendar conflicts, coordinating support staff as needed.
  • Utilize Microsoft and Google Suite applications for document creation, data organization, and collaboration.

Requirements

  • Proficiency in Microsoft and Google Suite is essential for managing schedules and documentation.
  • Project management skills with the ability to drive projects forward, while coordinating with busy executives and support staff.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Experience in event planning to coordinate successful corporate events and meetings.
  • Excellent written and verbal communication skills for effective interaction with executives and staff.
  • Previous experience in providing executive administrative support or as a personal assistant is preferred.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to work with two neurodiverse executives, gatekeeping schedules, managing priorities, and ability to push for completion and meeting deadlines.

Nice-to-haves

  • Experience with Microsoft PowerPoint is preferred.
