About the position

The Executive Assistant position at Greystar provides essential administrative support to the Executive Director and senior managers within the division. This role involves managing schedules, coordinating meetings, and acting as a liaison between the Executive Director and other team members. The Executive Assistant is responsible for ensuring effective communication and organization within the office, facilitating travel arrangements, and preparing various documents and reports.

Responsibilities

  • Maintain calendars for events and appointments for the Executive Director and senior managers.
  • Manage daily schedules and prepare for planned meetings and events.
  • Make travel arrangements for the Executive Director and other visitors.
  • Prepare proposals, presentations, memos, and reports for distribution.
  • Assist in preparing budget and financial documents by analyzing information.
  • Participate in special projects and coordinate tasks with team members.
  • Oversee day-to-day office operations, including mail handling and inventory management.
  • Supervise one or more Receptionists/Administrative Support team members.

Requirements

  • Proven experience as an executive assistant or in a similar administrative role.
  • Strong organizational skills and ability to manage multiple tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and handle sensitive information.

Nice-to-haves

  • Experience in the real estate or property management industry.
  • Familiarity with budget preparation and financial analysis.
  • Ability to work independently and as part of a team.
