About the position

The Executive Assistant (EA) at Johns Hopkins University will provide expert administrative support to the Vice President of Human Resources (VPHR). This role is crucial in facilitating the accomplishment of HR goals within a fast-paced and collaborative environment. The EA will manage the VPHR's calendar, coordinate meetings, prepare materials, and handle sensitive information with confidentiality. The position requires a proactive individual who can anticipate needs, demonstrate leadership, and maintain a high level of customer service.

Responsibilities

  • Manage the calendar of the VPHR, including meetings, appointments, and events.
  • Schedule and organize meetings; prepare the VPHR for meetings and presentations.
  • Coordinate with other administrators and leaders to resolve scheduling conflicts and prioritize requests.
  • Triage and manage information flow and priorities by flagging important action items and timelines.
  • Prepare the VPHR for key meetings, presentations, and discussions by researching and gathering critical information.
  • Organize high-level meetings with multiple constituencies and disseminate corresponding meeting materials.
  • Oversee incoming correspondence and requests for the VPHR's attention; triage to other staff members as appropriate.
  • Coordinate travel and itineraries for the VPHR, ensuring efficiency and best use of time.
  • Develop institutional relationships to facilitate the work of the VPHR and her office.
  • Participate in the VPHR's team meetings and contribute to discussions and recommend effective solutions.
  • Organize and maintain electronic files, ensuring materials are accessible and confidential.
  • Provide additional administrative support to the VP as required.

Requirements

  • Bachelor's Degree.
  • Five years of experience in providing progressively responsible administrative support.
  • Experience working on a wide variety of special projects and special assignments.

  • Significant experience with Microsoft Office products, especially Outlook and PowerPoint.
