About the position

This position is responsible for providing full administrative support to executive leadership within Modivcare. The role involves performing a wide variety of administrative tasks that are essential for the smooth operation of the executive's office. Key responsibilities include maintaining the executive's and/or department calendar, which involves scheduling and confirming appointments, arranging for meeting rooms or facilities, and making and confirming travel plans. The administrative support extends to preparing agendas or presentations, attending meetings with the executive, and taking, transcribing, and distributing notes or minutes from these meetings. In addition to these broad administrative tasks, the role also encompasses more complex activities such as data compilation and reporting, as well as administrative project management. The individual in this position will coordinate key projects across the organization, ensuring that all aspects are managed effectively. Arranging travel is another critical component of the role, which includes preparing and submitting expense reports on behalf of the executive. The position requires screening visitors, phone calls, emails, or physical mail while maintaining confidentiality of sensitive information. The role also involves handling complex issues and problems, referring only the most complex issues to higher-level staff. The individual will be responsible for collecting and preparing information for use in discussions and meetings of executive staff and outside individuals, making high-level contacts of a sensitive nature both inside and outside the company. The position requires working on problems of diverse scope where analysis of data requires evaluation of identifiable factors, exercising judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. The individual may also lead projects and perform other duties as assigned, with occasional business travel required.

Responsibilities

  • Performs a wide variety of administrative tasks in support of executive leadership.

  • Prepares agendas or presentations, may attend meetings with the executive, and takes, transcribes, and distributes notes or minutes.
  • Handles broad administrative tasks as well as more complex activities such as data compilation and reporting, administrative project management, etc.
  • Coordinates key projects across the organization.
  • Arranges travel, including preparing and submitting expense reports on behalf of the executive.

Requirements

  • Bachelor's Degree required.
  • Three (3) plus years of experience in a similar role.
  • Knowledge of specialized disciplines, industry practices and standards, acquired via academic instruction and/or relevant work experience of substantially the same level.
  • Strong skills using MS Office Suite products including Excel, Word and PowerPoint as appropriate for the job level.
  • Ability to use discretion and maintain confidentiality.
  • Excellent communication skills, both verbal and written, with ability to develop written communication.
