About the position

The Executive Assistant to the CEO plays a crucial role in managing the CEO's calendar, travel arrangements, and expenses while providing executive administrative support. This position requires a highly organized individual who can handle multiple tasks efficiently and maintain a high level of professionalism in communication with senior stakeholders. The role also involves project management and coordination of executive meetings and events, ensuring that the CEO's priorities are met effectively.

Responsibilities

  • Manage scheduling of both internal and external meetings and events based on CEO's priorities.
  • Maintain a detailed checklist of CEO's priorities and related meetings.
  • Regularly review and update the calendar as per CEO's preferences.
  • Proactively address potential calendar conflicts to ensure the calendar is current and up to date.
  • Support the CEO with personal priorities like booking appointments and special events.
  • Be the primary point of contact for meeting requests related to the CEO's calendar.
  • Plan and manage all travel arrangements, including logistics and itineraries.
  • Maintain all expenses and related reports in an organized manner.
  • Coordinate all executive meetings and retreats, assisting with staff meetings and events as needed.
  • Lead or assist with special projects, events, and activities for the CEO's office.

Requirements

  • Minimum 14 years of EA experience supporting C-level executives in the tech services or consulting industry.
  • Polished and professional communicator, both verbal and written.
  • Excellent program management skills with the ability to multitask in a fast-paced environment.
  • Strong problem-solving skills and attention to detail.
  • Experience working across different time zones, particularly USA and India.
  • Proficient in Microsoft Office and G Suite.

Nice-to-haves

  • Experience in client services for at least 9 years.
  • Flexibility to support urgent calendar needs after hours and over the weekend.
  • Stable, long-term orientation with a track record of staying with an organization.
