The Executive Assistant will be responsible for making the most out of every interaction, emphasizing the importance of the other person in every engagement. In this position, the Executive Assistant will act as the point of contact among executives, employees, clients, and other external partners. They will manage the flow of information in a timely and accurate manner, ensuring that executives' calendars are organized and meetings are set up efficiently. The role also involves making travel and accommodation arrangements, tracking daily expenses, and preparing reports on a weekly, monthly, or quarterly basis. Additionally, the Executive Assistant will take on office management responsibilities, including maintaining office supply inventory, formatting information for communication, taking minutes during meetings, screening phone calls, and organizing the office filing system. This position is available as both full-time and part-time, with an expected workload of 20 hours per week, Monday to Friday, in person in Albuquerque, NM.

Responsibilities

  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives' calendars and set up meetings
  • Make travel and accommodation arrangements
  • Track daily expenses and prepare weekly, monthly, or quarterly reports
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication - memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system

Requirements

  • Ability to solve creative, organizational, or communications problems proactively
  • Strong knowledge of Microsoft Office and Google Apps
  • Excellent communication skills
